How the Moulton Bicycle Club collects, uses, and protects your personal information.

Scope

This policy describes how the Moulton Bicycle Club handles your personal information when you use the Club's services, including membership, the forum, classifieds, and the Moultoneer magazine.

Glossary of terms

  • Personal data — names and contact information such as emails and telephone numbers, and where relevant employment history and credit records.
  • Sensitive personal data — medical conditions, religious beliefs, political opinions, racial or ethnic origin, convictions, and biometric data.
  • Data controller — the person who decides the purposes for which personal data is processed.
  • Data processor— third parties who process personal data on the controller's behalf.
  • Data processing — any operation performed on personal data, including collection, storage, and retrieval.

Information we collect

We collect data to deliver Club services and for purposes including updating records, management analysis, legal compliance, and the prevention of crime.

How we use your information

We use personal data as you request and in accordance with data protection law. For consumers, the legal basis is the contract with the individual to deliver the services requested; for business-to-business contacts, the basis is legitimate interests.

Third-party service providers receive only the information necessary to provide their service, under confidentiality agreements. We do not share your data for external marketing purposes.

International data transfers

Information may be transferred outside the EU to service providers. Where this happens, we take steps to ensure your data continues to receive an adequate level of protection.

Data security

No transmission of information over the internet can be guaranteed to be completely secure, so any transmission is at your own risk. Please keep your account password confidential.

Profiling

We may analyse your data to create profiles of interests so that communications are relevant to you, and to help detect fraud.

Data retention

Data relating to contracted services is held for 7 years for physical copies, or indefinitely for digital copies, unless you request otherwise.

Your rights

  • Subject access requests — you may request a copy of your personal data; we respond within one month.
  • Corrections — write to us to correct inaccurate information.
  • Data portability — where processing is based on consent or contract and is automated, you may request your data in a structured, commonly used, machine-readable format.
  • Right to be forgotten — you may request deletion of your personal data in writing.
  • Objections to processing — you may object in certain circumstances; we may only refuse where we have compelling legitimate grounds or for the defence of legal claims.

Complaints

If you are dissatisfied with how we handle your data, you may lodge a complaint with the UK Information Commissioner's Office (ICO) regarding GDPR compliance.
